The bad news: scam emails are becoming more common. The good news: you can be more aware with a few helpful tips!

When receiving messages that may look official, but you're unsure about, check to see if they include the

           following red flags

           that are often used:

           • urgent payment demands

           • unexpected invoices

           • requests to “confirm” account information

           • links that don’t match the sender’s name

           • misspellings

           • unfamiliar email addresses

           • attachments you weren’t expecting

check the full email address (not just the display name) and contact the company directly using a phone number or website you already trust—not the information in the email.

avoid clicking links or downloading anything,

5 Common QBO Mistakes (and how to avoid them)

Using QuickBooks Online can simplify your business finances—but only if you use it correctly. Let’s go over 5 common mistakes small business owners make (and how to avoid them).

           1. Not Categorizing Transactions Regularly

If you let transactions pile up, things get messy fast.

           Fix:

Set aside 10–15 minutes each week to review and categorize.

           2. Mixing Personal and Business Expenses

This is one of the biggest headaches during tax time!

           Fix:

Use a separate business bank account and make sure only business expenses go through it.

           3. Ignoring Bank Reconciliation

Reconciliation ensures your records match your bank.

           Fix:

           Reconcile monthly. It helps catch:

           • Missing transactions

           • Duplicate entries

           • Errors

           4. Not Using Automation Features

QuickBooks Online is powerful, but only if you use its tools.

           Fix:

           Take advantage of:

           • Bank rules

           • Recurring invoices

           • Auto-categorization

           5. Skipping Reports

Many business owners never look at their reports and miss key insights.

           Fix:

           Check these monthly:

           • Profit & Loss

           • Cash Flow

           • Expenses by category

Avoiding these mistakes will save you time, stress, and possibly money. A little consistency goes a long way!

Is Your QuickBooks Desktop File Being Backed Up?

If you don’t know, it may be a good idea to check. There are many different options for backing up your QB files:

You can consult your IT person to have your back up done online and automatically

QB has a feature to back up your file every time you close your company file or schedule a backup the same time each day, week, month, etc.

You can save it to a USB stick, to a Dropbox file, or anywhere that is convenient for you

No matter when, where or how, please be sure

            You’re spending too much time

            on bookkeeping:

If you are spending hours on invoicing, data entry, and categorizing expenses instead of focusing on revenue- generating activities, it is time to delegate.

            Your books are

            behind or inaccurate:

Falling behind on reconciliations, struggling to keep track of receipts, or suspecting errors in your financial records can lead to poor decision making.

            Tax Time is a

            nightmare:

If you are frantically trying to organize a year’s worth of data for your accountant, or if you are missing tax deadlines, a bookkeeper will ensure you are tax ready year-round.

You don’t understand your Cash Flow:

When you don’t know exactly how much money is coming in or going out, or you struggle to pay vendors and employees on time, a bookkeeper provides the necessary financial clarity.

            Your business is growing rapidly:

As revenue increases, so does complexity.

Hiring a professional help prevents financial disasters and allows you to focus on strategy and growth!

How to Create a Branded Email Signature

Having a signature at the bottom of your emails that matches your brand sends the message that your business is professional, intentional, and knowledgeable. While this is a common addition to emails, it’s not always straight forward on how to add one. In this example I will be using

Incorrectly labeling employees as independent contractors to avoid payroll taxes and benefits. This can lead to legal penalties.

            Miscalculating Overtime:

Failing to properly calculate overtime pay (time and a half) for non-exempt employees who work over 40 hours in a work week. This violates the Fair Labor Standards Act.

Missing Tax Deadlines & Filing Errors:

Submitting your payroll taxes late or incorrectly filling out tax forms can lead to heavy penalties, interest, and possible audits.

            Improperly Calculating Deductions:

It is important to not make errors in withholding taxes, health insurance premiums, or retirement contributions. This can lead to incorrect net pay for an employee.

            Improper Record Keeping:

Failing to maintain required payroll records – such as tax filings and timecards – for the required minimum of three years.

           As we head into March,

            W2 forms should be completed

            1099 forms should be completed

QB file should be sent or made available to your tax accountant for 2025 tax preparation.

           Next step:

After the tax accountant has your QB file, then set

a closing date in your QB file.

This prevents transactions from mistakenly being entered into a prior year. Why is this important? Your QB file should match your tax return for 2025. Since the file has gone to the tax accountant, the numbers cannot change now.

Pros & Cons of AI in the Office

Do you have concerns about using AI in the office place? Here are a few things to keep in mind.

Pro: Efficiency | Con: Dependency on Technology

While there is truth about the efficiency of AI doing

            repetitive, simple tasks

for you in the office (taking notes, writing a simple email, etc.) there is also the inconvenience of relying on technology to take care of these simple tasks. And we all know how it feels when technology fails us.

There is also the concern that AI will cause employees to rely

           too heavily

on it for decision-making and ideas causing them to lose their own

           creative and unique solutions

and ideas. One thing AI is not, is unique-

           but your business is!

So, when you are using AI for simple office tasks, take into consideration what you might lose in the long run and weigh if that is worth it to your business.

Clean As You Go

The new year is here, and you feel busier than ever. Here is one simple rule to follow to help stay organized.

           Clean as you go.

This applies in admin organization just as much as it does in

           your kitchen.

As you are doing your normal tasks, noticing things that

           aren’t in the right file

           ,

           aren’t labeled correctly

           , etc., clean them up

           now

, while you’re thinking about it and looking at it. Yes, it will take a little extra time now, but it will

            save you

much more time and stress in the long run.

2025 Tax Changes for Overtime

Due to the One Big Beautiful Bill Act (OBBBA) that was passed into law on July 4th of this year, there were some updates to the tax landscape, including new deductions for qualified overtime pay.

This provision allows for a tax deduction on personal returns for qualified overtime pay,

           capped at $12,500 per individual.

Overtime will continue to be taxed on paychecks. The deduction applies only to the overtime hours required by the FLSA (typically work over 40 hours a week). It specifically covers the additional “half” of time and a half pay.

The IRS has announced there are

no changes to the standard W-2 form for 2025.

Therefore, it is extremely important that your employees provide their tax accountant with their

           final paystub of 2025

that shows the year-to-date overtime. This will provide them with the accurate amount of overtime that can be used towards this deduction on their 2025 income taxes.

Starting in 2026 there will be

new ways to track the qualified overtime amounts.

We will keep you posted as updates are available.

All W-2 forms are required to be filed with the IRS no later than

           February 2, 2026.

Again, there will be no change to the W-2 form in 2025, the last paystub is the proof for taxes. Should you have any questions, please do not hesitate to

Common Problems with Using Bills & Expenses Incorrectly

Using Bills and Expenses incorrectly can lead to messy accounting and inaccurate reports. Here’s what can go wrong:

           1. Duplicated Expenses

If you enter a Bill and record an Expense for the same purchase, you’ll double-count the cost — inflating your expenses and lowering profit.

           Example:

You receive a vendor invoice → record it as a Bill. Then, when you pay, you record another Expense instead of Pay Bills. Now your Profit & Loss report shows the same expense twice.

           2. Incorrect Cash Flow

Recording something as a Bill when it was already paid makes it look like you owe money you don’t. This can throw off your Accounts Payable aging report and make it harder to manage cash flow.

           3. Missing Unpaid Vendor Balances

If you record a vendor invoice as an Expense (instead of a Bill), QuickBooks® assumes it’s already paid. You’ll lose visibility into what you still owe — which can lead to late payments or missed deductions.

           4. Tax Reporting Issues

Wrong classifications can distort your expense totals and timing, leading to errors in tax deductions or reconciliations.

By understanding when to use each, you’ll keep your

           vendor records clean, reports accurate,

           and your

           accountant happy.

If you’re ever unsure, ask yourself one simple question:

“Has the money left my bank account yet?”

            tax accountant.

Before the tax accountant receives your information, it should be in an organized manner, this saves them time and you MONEY!

Here are a couple of the major things to look at:

Make sure your checking account and savings accounts are reconciled to the bank statement through 12/31/25

Make sure credit card charges are all entered (these are expenses to you) and then all are reconciled (you may need to wait for the January or February statement to have all December charges)

Loan balances also need reconciled, this includes any personal loans as well

Look at your P & L - are all transactions classified correctly?

Payroll accounts should be reconciled to match your W-2 filings

To be eligible to be exempt from Social Security and Medicare taxes you must meet the following requirements:

When to Use Bills and Expenses

           When to Use Bills:

Use Bills in QuickBooks Online when you receive an invoice from a vendor but haven’t paid yet.

           For example:

You receive a $2,000 invoice from your graphic designer, due in 15 days.

In QBO, you’ll record it as a Bill under + New → Bill.

Later, when you actually pay it, you’ll go to + New → Pay Bills.

This approach keeps your Accounts Payable (A/P) accurate and ensures you can track unpaid vendor balances and upcoming payments.

           When to Use Expenses:

Use Expenses when you’ve already paid the vendor — immediately or on the same day.

           For example:

You pay $100 at Office Depot for supplies using your business debit card.

In this case, you’ll record an Expense under + New → Expense.

QuickBooks will immediately reduce your bank balance and record the purchase.

           Think of it this way:

Top 3 Office Tasks to Keep Things Running Smoothly

           1. Organizing your filing system as you go.

If you have an organized filing system (which you should), continue to keep the correct documents in the correct folders as you go. This helps you find what you need quicker, saves you from having to do it all at once and risking forgetting what everything is and where it goes.

           2. Keeping your calendar up to date & accurate.

Keep your events up to date and accurate, especially if your whereabouts affect other people on your team. Even for yourself, an organized and clear calendar helps bring your focus to each day.

           3. Keeping an organized to-do list that makes sense to you.

Whether it’s physical, on your computer or phone, as long as you know what your list means and can easily gage where you’re at on your tasks, that’s the important thing.

3 More Reasons Why Every Small Business Needs an Overview from a QBO ProAdvisor

A QBO ProAdvisor is more than just a certified QuickBooks® expert—they’re trained professionals who can help you make sense of your numbers, clean up your books, and provide an actionable financial overview. Here’s why getting an overview of your business from a QBO ProAdvisor is a smart move.

           1. Clean Up & Organize Your Books

Many small business owners don’t realize their books are disorganized until tax time or there is a major financial decision looming.

            A QBO ProAdvisor can:

            Reconcile accounts properly

            Fix categorization errors

Set up your Chart of accounts for clarity and compliance

            Streamline your financial reports

           2. Be Ready for Tax Season or Funding Opportunities

When your books are in order, tax season becomes far less stressful—and your CPA will thank you. Plus, if you ever need a business loan or want to pitch investors, having clean, clear financials makes you look organized, responsible, and investment-ready.

           3. Gain Clear Financial Insights

We help translate your financial data into simple, actionable insights. Whether it’s cash flow trends or profit margins, you’ll see exactly where your business stands—and where it can improve.

There’s never a wrong time to get a fresh, expert perspective on your finances.

3 Reasons Why Every Small Business Needs an Overview from a QBO ProAdvisor

As a business owner, you wear a lot of hats—CEO, marketer, salesperson, and sometimes even bookkeeper. But when it comes to understanding the financial health of your business, guesswork simply won’t cut it. That’s where a QuickBooks® Online (QBO) ProAdvisor comes in.

           1. Get a Clear Financial Picture That Shows:

            profit and loss trends

            cash flow analysis

            outstanding invoices and liabilities

expense categories that are eating into profits

           2. Spot Problems Before They Become Crises

A ProAdvisor is trained to spot red flags in your books. Whether it’s a growing accounts receivable balance, miscategorized expenses, or inventory issues, a ProAdvisor can identify and address them early.

           3. Save Time and Reduce Stress

Let’s be honest: bookkeeping can be a headache. A ProAdvisor helps you focus on what you do best while giving you peace of mind that your finances are under control. They can also help automate repetitive tasks in QuickBooks Online, saving you time every single month.

           Think of a business overview

from a QBO ProAdvisor as a tune-up for your financial engine. It’s not just about catching up on bookkeeping—it’s about optimizing your operations and setting the stage for smarter growth.

Brand Basics

Let’s begin with what makes up your organization’s brand:

your voice/tone, typography, color palette, logo,

and at the heart of your brand,

           your “why”

            aka your mission statement.

What is your organization’s voice and tone? This means, if our organization was a person, how would we talk and interact with others (our clients)? Are we outgoing and chatty or are we professional and informational?

Why do we do what we do?

Use the answer to guide your voice/tone and ultimately your logos, typography, and color palette.

Having a couple of logo designs that vary a little, but overall have the same look is a great place to start. Next up is your fonts and colors. These could be taken from the logo itself. Have at least 2-3 different types of fonts, one serif and a sans serif, is ideal. The color palette should be 3-5 different colors with at least 1 primary, 1 secondary, and 1 accent color.

Remember, this can all come back to your

            “why”,

so don’t forget to keep the question, “Why do we do what we do?” at the

           center of your brand.

Do you have simple and repetitive tasks to get done every year, every week, or even every day like sending emails to clients, answering the phone, or making edits to the website? You should be making procedures for those tasks and here’s why!

            If there is a

           switch in your role

or someone else comes onboard, having a simple procedure for them to start off with will give them a

. This also means less training on your end. You know more than you think you do, so be sure to include all the

You might only do these tasks every so often, like mailing out a Christmas card, which means forgetting and

Procedures can be as simple as a bulleted, typed out document explaining a single task. You can also make them more detailed by including screenshots/pictures of the step or adding links to websites involved in the task. You can make them however it fits your business best, using a variety of software from Microsoft to Google Drive. Just as long as you and your team know where to
